Virginia Traveling Plaque Guidelines
Updated 03/31/2006

1. A minimum of 5 GWRRA full, associate, or booster members representing a GWRRA Virginia Chapter are required to capture the plaque. Each person representing the capturing GWRRA Virginia Chapter must have their membership paid up to date and must present their GWRRA membership card when requested. If a participant does not have their card with them, they will not be counted in the total for determining the capturing chapter, so check that you have your cards before leaving home.

2. The capturing GWRRA Virginia Chapter must travel a minimum of 50 miles to qualify.

3. The Chapter Director holding the plaque must have it available for capture at the next "scheduled" meeting or event of the Chapter (excluding Mall Shows or Christmas parties.

4. The plaque will be awarded on the basis of total mileage on a motorcycle from Chapter meeting site to Chapter meeting site. Therefore, all participants riding motorcycles within a Chapter will have the same mileage. The one-way mileage for the Chapter times the number of participants attending equals the TOTAL MILEAGE. {EXAMPLE: Chapter XX rides 50 miles to Chapter YY and brings 10 particpants = 500 TOTAL MILES. Chapter ZZ rides 80 miles and brings 5 participants = 400 TOTAL MILES. Chapter XX would capture the plaque.} To be fair on a year-round basis, travel by any means other than motorcycle will only count for half mileage. 5. The GWRRA Virginia Traveling Plaque will remain with the Capturing Chapter until its next function to which the general GWRRA membership is invited (excluding Mall Shows or Christmas parties). This allows the Traveling Plaque to be captured as many times as it becomes available.

6. Three different GWRRA Virginia Chapters must capture the plaque before a Chapter may recapture it. For instance, if Chapter XX captures the plaque, then Chapters YY, ZZ, and WW must hold it before Chapter XX can recapture it.

7. Each time a Chapter captures the plaque, their Chapter's name goes into a drawing receptacle. The Chapter whose name is drawn at the end of the year will take home the plaque permanently and will receive an engraved plate to put on the plaque identifying this honor. Therefore, the more times a Chapter captures the plaque the greater chance they will have of keeping it at the end of the year.

8. The GWRRA Virginia Traveling Plaques will be awarded each year at the All-Chapter Picnic. THE CHAPTER THAT CAPTURES THE PLAQUE THE MOST TIMES IN THE YEAR BEGINNING WITH RALLY IN THE VALLEY AND ENDING WITH THE FOLLOWING RALLY IN THE VALLEY WILL HAVE THEIR CHAPTER CHARTERING FEE PAID BY THE DISTRICT FOR THAT YEAR.

9. The GWRRA Virginia Traveling Plaque MAY NOT be captured by any non-GWRRA Chapter or organization. That's what other organization's, District's, and the Region "N" Wanderer Plaque are for.

10. Concerning those members who usually sign in at events as participating in multiple Chapters, for the purposes of the Traveling Plaque, you must choose a HOME CHAPTER and stick with it. Remember, the other participants will know if you are being honest or not.

11. The Chapter Director currently holding the plaque will make the final determination as to who takes home the plaque, based on these rules, fairness, honor, integrity, and what's in the best interest of GWRRA Virginia and its members.

12. A standardized chart indicating the distance between the various Chapter's meeting sites has been developed and will accompany the plaque to assist in determining the capturing Chapter.

13. The Chapter Director of the capturing Chapter must report their possession of the Virginia Traveling Plaque as soon as possible to District MED Coordinators, Chris & Kathy Hooper, at 804-272-4930, (email to chooper@firstsaga.com) and advise them of the location and the next Chapter activity.

14. GWRRA Virginia District Staff members are NOT eligible to participate as members of Chapters for the purposes of capturing the plaque. This does NOT apply to the special Rally Staff positions.
