Virginia Traveling Plaque Guidelines
Updated 01/01/2011

1. There is no limit to the number of Chapter members making up a team, but there must be at least 5 (five) participants. District Staff members are acceptable members of the team, however no more than 2 (two) District Staff members may participate with the attack team. Each person representing the capturing GWRRA Virginia Chapter must have their membership paid and up to date. All members including District Staff must claim a home chapter and cannot represent more than one chapter.

2. There are no minimum mileage requirements established for visiting chapters to capture a plaque, however if more than one chapter shows up to capture a plaque, then the chapter traveling the further distance based on the Standardized Mileage Chart will win.

3. A Standardized Mileage Chart indicating the distance between the Chapter's meeting sites has been developed and will accompany the plaque to assist if necessary in determining the capturing Chapter. Chapter Directors are responsible for advising the District Director when meeting locations have been changed so the Mileage Chart may be updated.

4. The Chapter Director holding the plaque must have it available for capture at the next "scheduled" social gathering or event i.e Poker Run for the Chapter (excluding Mall Shows, Rally Weekends, or Christmas parties)..i.e. Chapter I captures the traveling plaque on Saturday Jun 10 20XX. Chapter I meets Sunday Jun 11, 20XX…..the plaque must be available on Jun 11. With the exception of social gathering on a rally weekend, social gatherings may not be cancelled in an effort to keep the plaque.

5. Two different GWRRA Virginia Chapters must capture the plaque before a Chapter may

recapture the plaque. For instance, if Chapter XX captures the plaque, then Chapters YY and ZZ must hold it before Chapter XX can recapture the plaque.

6. Each time a Chapter captures the plaque, their Chapter's name goes into a drawing receptacle. The Chapter whose name is drawn at the end of the year will take home the plaque permanently and will receive an engraved plate to put on the plaque identifying this honor. Therefore, the more times a Chapter captures the plaque the greater chance they will have of keeping it at the end of the year.

7. The GWRRA Virginia Traveling Plaque will be awarded each year at the All-Chapters Picnic.

8. The chapter that captures the plaque the most times in the year beginning with Rally in the Valley and ending with the following Rally in the Valley will have their Chapter Chartering Fees paid by the district for that year. In the event of a tie, the VA District Director will make the final decision.

9. The GWRRA Virginia Traveling Plaque MAY NOT be captured by any non-GWRRA Chapter or organization. That's what other organization's, District's, and the Region "N" Wanderer Plaque are for.

10. The Chapter Director currently holding the plaque will make the final determination as to who takes home the plaque, based on these rules, fairness, honor, integrity, and what's in the best interest of GWRRA Virginia and its members.

11. The Chapter Director of the capturing Chapter must report their possession of the Virginia Traveling Plaque as soon as possible to Asst District Directors, and District Webmaster of the location and the next Chapter activity IAW guideline 4.
